Mental Health & Therapy

Built for psychiatry, therapy and behavioral health practices.

Schedule providers, interns and admin staff separately. Track LCSW / LPC / LMFT / psychiatric NP licenses before they lapse. Pay W-2 staff and 1099 therapists from the same place without classifying them wrong.

What practice owners are tired of

Your scheduling tool doesn't know what a 1099 therapist is. So you maintain a separate spreadsheet for them.
The LCSW renewal got missed. You found out when a discharge plan got bounced back.
Interns and supervisors are on different schedules. Nothing in your calendar makes that visible.
Group therapy hours don't map cleanly to individual billing. Payroll math takes 4 hours every other Friday.
Front desk is in a group text with the back office. PHI keeps leaking into channels you can't audit.
Time-off requests come in by text. You forget half of them by the time you build next week's schedule.

Built around how mental health practices actually run

The features that matter for psychiatry, therapy and behavioral health — not generic SMB scheduling.

🧠

Provider, intern, supervisor splits

Schedule psychiatrists, psychologists, LCSWs, LPCs, LMFTs, interns and admin as separate position types. Supervisor coverage is a first-class concept on the schedule.

📜

License renewal tracking

Per-staff license fields (LCSW, LPC, LMFT, LMHC, psychiatric NP, DEA). Email reminders 90/30/7 days before lapse. Expired licenses can auto-block scheduling.

👤

W-2 + 1099 in one workflow

Worker classification is a first-class field. 1099 therapists onboard with W-9 (no W-4 / I-9). Payroll reports split W-2 hours from 1099 hours for year-end 1099-NEC filing.

🔐

HIPAA-aware document storage

Onboarding docs and credentialing files live in encrypted storage with row-level security. SSN masked. Access logged. We don't store patient PHI — only staff data.

📅

Session vs admin time separation

Tag shifts as billable session time vs admin / supervision / no-show. Labor reports break out clinical hours from non-clinical so you can see your true productivity.

📤

Clean payroll exports

QuickBooks, Gusto, ADP, Paychex pay-period CSVs. 1099-NEC totals separated from W-2 totals. Your CPA stops calling you in January.

Mental health practice FAQ

The questions we get from psychiatrists, therapists and group practice owners.

Is this HIPAA-compliant?
We are HIPAA-aware in our architecture (row-level security, encryption at rest, audit logging, masked PHI display) but we don't currently sign BAAs. Importantly, we don't ingest patient data — only employee data. Patient charts and notes stay in your EHR / SimplePractice / TheraNest. Formal HIPAA-ready posture is on the roadmap for Q3 2026.
I have a mix of W-2 staff and 1099 therapists. Does this work?
Yes, this is one of the things that makes us different. Worker classification is a first-class field, not a workaround. 1099 onboarding skips W-4 and I-9 and captures W-9 instead. Payroll exports split W-2 totals from 1099-NEC totals automatically.
Can I track LCSW / LPC / LMFT renewals?
Yes. Per-staff license fields with renewal dates. We email the staff member, the practice owner and any supervisor of record at 90, 30 and 7 days before expiration. You can configure expired licenses to auto-block scheduling for that role.
Does it handle supervised intern hours?
Yes. Tag a staff member as an intern, assign their supervisor, and supervision hours show up on the intern's timecard as a separate line. Useful for licensure-hour reporting at year-end.
Can I separate billable session time from no-show / admin time?
Yes. Each shift can be tagged as session, admin, supervision or no-show. Labor reports break those out so you can see what % of clinical time is actually billable.
Solo practitioner — is it overkill?
No. There's one plan for everyone, with every feature and all AI included — GPS clock-in, timesheets, kiosk mode and payroll exports are never locked behind a tier. Your first month is free (1 location, up to 10 staff including 1099 contractors, no card). After that it's $1 per active person/mo + $10 per location/mo, so a small solo practice often runs well under $20/mo.
